Aims and Objectives

Rhythm in Movement Dance Company aims to offer exceptional dance and fitness training in a safe and enjoyable environment. We focus on fostering creativity, self-discipline, teamwork, confidence, respect, and leadership. Our goal is to guide each student to achieve their personal best, providing training at their individual pace to help them reach their goals.


Terms and Conditions


Payment Conditions

A 30-day written notice is required for any class termination or amendments. If a payment due date falls within this notice period, it must be settled before the principal can process your cancellation. If payments are canceled without settlement, an invoice will be issued for the outstanding balance.


·      All fees are paid at the end of every Calendar month for the month ahead. Fees are calculated by 41 weeks of the school year divided and paid over 12 months of the year with 30 days notice of any cancellations or class changes.

·      All payments have to be paid through our payment system or a £5 admin fee will be charged per month

·      Termination or amendments of any classes requires 30 days written notice or a further month’s payment will be required.

·      Fees must be received by the 7th of the month or a £10 surcharge will be added.

·      We offer free taster session on the first week of each term. If proceeding with regular classes, participants must either commence classes the following week after the trial or pay for the taster session.

·      Complimentary taster sessions are available to trial each style once. Any subsequent trial sessions in the same style will incur a fee of £5 per session.

·      After the first week of term taster sessions are £5 per session. Should the student decide to join the class, they then pay the balance of the month remaining. Then the direct debit must be started for the following calendar month.

·      There are no refunds if a student is absent from a class and no reductions for part term attendance.

·      On the rare occasion that a class is cancelled, it will be rescheduled

Behavior, Etiquette, and Decorum

Occasionally it is necessary for the teachers to use physical contact for corrections, to assist with movements and safety. This includes physical contact between students eg. Holding hands, body placement correction


Conduct for Students

·      Positive Mindset: Attend classes with enthusiasm and a positive attitude.

·      Respect: Students are expected to maintain a respectful and attentive demeanour during classes towards teachers, classmates, and their selves.

·      Classroom Etiquette: Follow the teacher's instructions, and avoid excessive talking or disruptions.

·      Eagerness to Learn: Demonstrate a willingness to learn and grow.

·      Ask for Help: Don't hesitate to ask for assistance when needed.

·      Please inform the teacher of any injuries prior to class

·      Punctuality: Be on time for all classes.

·      Only water is permitted; no food or other drinks.

·      Permission to Leave: Ask for permission to leave the studio during class, and do not exit the building without supervision unless you have approval.

·      Dress Code: Wear the appropriate uniform and footwear, ensuring your hair is neatly tied back.

·      Dance Shoes: Only wear dance shoes inside the studio.

·      Jewellery: Remove any jewellery that might cause injury or be deemed inappropriate.

·      Collection Safety: If waiting for a ride in the car park, remain indoors in view of the teacher until your parent or guardian arrives.


Conduct for Parents

·      Respect Studio Decisions: Accept our professional judgment on class placement and casting choices for shows, exams, competitions, and solos/duets.

·      Address Concerns Professionally: Schedule appointments with Alex to discuss any questions or complaints. Do not approach other staff members.

·      Respect: Maintain a respectful and attentive demeanour towards teachers, students and other dance parents.

·      Social media: Do not use social media to voice complaints. Attempts to damage our reputation could lead to legal action.

·      Punctuality: Drop off and pick up children on time, and no more than 10 minutes before or after class.

·      Parents may not observe classes without special permission.

·      Supervision: Ensure that children are not left unsupervised unless approved by the teacher. Parents must supervise students waiting between classes unless prior consent is granted.

·      Parking: Only park in designated areas and park respectfully and considerately.

·      The studio is not responsible for lost or damaged personal belongings.

·      Encourage Practice: Support your child's practice at home, especially before shows and exams.

Disruptive behavior will not be tolerated. Alex reserves the right to remove students or parents whose behaviour is disruptive, disrespectful, abusive, or otherwise unacceptable. This may result in exclusion from the studio, events, or performances.


Addressing Concerns

If you have any questions or issues, please schedule an appointment directly with Alex. Do not approach other staff with concerns. If the conduct of students or parents fails to meet studio standards, Rhythm in Movement reserves the right to take appropriate action, which could include verbal warnings, temporary suspensions, or permanent dismissal.


When you register your child for classes, you agree to comply with the above Terms and Conditions.


Examinations

Rhythm in Movement offers International Dance Teachers Association (IDTA) examinations at both graded and vocationally graded levels in the following disciplines:

  • Ballet
  • Tap
  • Theatre Craft
  • Contemporary Modern
  • Acrobatics


Consistent exam practice at home is essential for achieving high marks and meeting the required standard. To support this, the teacher or principal may provide practice videos for additional guidance. If a student misses any practice sessions during the month leading up to their examination, they will be disqualified from participating in that exam session. Additionally, if a student's performance does not meet the required standard in the week prior to their exam, they will also be removed from the session and will only be re-admitted if they demonstrate a sufficient level of readiness.


Exam fees are requested approximately 6 weeks prior to the examination. Exam fees must be paid on time to avoid non-entry. Payment plans can be arranged with the principle. The original published exam date may change due to exam application procedure, parents will be notified of upcoming examinations as soon as an external examiner has been confirmed.

Exam results typically take some time to be processed. Once we receive them, we will distribute feedback sheets and scores to the dancers during class. These details won't be shared before then. We host an annual awards evening, usually in the autumn term, to celebrate achievements and present certificates and awards from recent examinations.


Performance Opportunities

We host an annual show, typically in February/March, featuring all students. Attendance at shows, technical/dress rehearsals and classes running up to the show is mandatory. Students are responsible for purchasing costumes and accessories for the show, with details provided in advance. Rhythm in Movement also performs at various events throughout the year. To assist with these performances, parents and friends are encouraged to help backstage as licensed chaperones.


Chaperone Licensing

For our annual show, we legally require assistance from licensed chaperones, who must undergo a DBS check and complete an online safeguarding course through Lincolnshire County Council. The chaperone license process is free and remains valid for three years.


Privacy Policy


We will deal with your Personal Data in compliance with the current UK data protection legislation. Personal Data will be collected, processed and used by us for the purposes of providing the best possible services and offers to you. The use of information will remain safe and secure when kept with Rhythm in Movement, we will not sell or share your data with any third parties unless your consent is given. We may collect Personal Data about your usage of our service in order to provide a service to meet your needs however none of this information will be disclosed. We only send emails to you about services that we consider may be of interest to you only if you have given us permission to do so. You can request to be removed from our list at any point via email

 

We are Rhythm in Movement Dance Company, the data controller. This Privacy Policy explains how we will use and personal information we collect about you. We have notified the Information Commissioner’s Office that we process personal data.

 

What information we collect about you

We collect your personal information when you sign yourself or your child up for any of our classes or workshops. We also collected information when requesting information about our services or taking part in any promotional offer through our website, email, Facebook and messages or via phone.


The personal information we may collect and use include:

  • Full name, home address, email, home and mobile number
  • Date of birth
  • Personal information about persons connected to you (for emergency contact details)
  • Medical information (for safeguarding and track and trace purposes)
  • Photographs (for promotional purposes) with appropriate permission
  • The Purpose of Collecting your Information


We only process personal information for the following reasons:

  • To enrol children into classes to be able to follow our safeguarding policy to ensure a parent or guardian gives consent for participating in activities
  • To enter dancers into examinations (external bodies) and performances (for licences and records for children under 18 years)
  • For adult class bookings (physical activity readiness questionnaire and emergency contact details)
  • To send updates about class bookings and enrolments regarding events connected to your class
  • To send information about legitimate interests including classes, events, products for news and updates (you can opt out at any time)
  • For surveys and market reason to be able to give a better service to our users
  • Who we Share you Information with


We treat all this information as confidential however we may need to share your data to selected third parties to carry out our services and by providing your information you are agreeing for us to share these details.

  • External examination bodies
  • Local councils to apply for performance licenses
  • With Videographers for use on show DVD's
  • Emergency services
  • To Mailchimp to be able to use their services for mailing lists and emails
  • With any debt collecting services or solicitors
  • To comply with any legal requirements or as required by law
  • Photographs for use in publicity materials, publications on and offline including websites and social media (no names will be disclosed)
  • The governments track and trace system
  • We may at times ask you to use third party website including but not limited to Bookwhen, Paypal/Stipe, Mailchimp and Survey Monkey however we are in no way affiliated with these companies and these each have their own policies. We take no responsibility of their terms, conditions or actions.

 

We hold your personal details on file for up to 7 years following the last event attended. After this period we will only keep your email address on our mailing list file which will only be removed on request. During this time you can request to be removed from our records at any time by emailing alexlaw@rhythminmovement.co.uk. We may hold your personal information for longer than originally collected for archiving, keeping statistical information, to defend or make a legal claim or for as long as a claim may be brought against us or made by us and/or in accordance with legal and regulatory requirements. We will keep all records of consent for children's photographs indefinitely as photos may still be in circulation. If photos/footage are requested to be removed we will do our best to do so however if it is already in circulations prior to consent being withdrawn this may not always be possible. However you can also request to know what data we hold on you at any point.

 

Your Rights

  • The right to be informed- we will tell you how we are using your data as covered by our Privacy Policy
  • The right of access - You can ask to see what details we have collected from you
  • The right to rectification - To ensure we have your correct data on file
  • The right to erasure - You have the right to have their date deleted at any point by emailing alexlaw@rhythminmovement.co.uk however we may need to keep your data for legal reasons as set out in our Privacy Policy
  • The right to restrict processing - Even though you have asked to be removed from our record we will take you off mailing list and not use your details if not necessary
  • The right to data portability - If we hold information that you would like to share with a third party such as exam results we will disclose this to you
  • The right to object - choose how you want us to use your data
  • The right not to be subject to automated decision-making including profiling - No decisions are made electronically
  • We will make requested changes within a month or sooner if possible

 

Breaches

We keep all your data secure on online portals, electronically and children's forms on paper (to follow local council rules for performance licences). All this data is locked securely or password protected to ensure security purposes are met. If at any point we suffer a data breach we will inform you immediately and inform the relevant organisations if required.
